Manage technical documents, manuals, certificates and SOPs
Centralize technical documents
The Documents module centralizes all technical documents: SOPs, manuals, certificates, datasheets, and more. Each document supports multiple versions and expiration alerts.
Image files — progress photos, damage shots, nameplate pictures — appear as a thumbnail grid at the top of the Documents tab, above the list of other files. The name you gave the file at upload is shown underneath as its caption, so a set of photos stays labelled and in order. Click a thumbnail to open it full-size in the in-app viewer. This works on every record that has a Documents tab: assets, work orders, parts, locations, preventive maintenance schedules and projects.
Use categories to organize documents by department or equipment type.
Open PDFs, images and text files directly in the app — no need to download them first. Click the View (eye) icon on any document. Office files (Word, Excel) still download to open on your device.
Add and attach documents
Upload documents from the Documents module or directly from an asset, work order, or project detail page.
Choose External link instead of Upload file to register a document that lives in another system (e.g. a read-only DMS) by URL — no file is stored, and the link opens in a new tab.
Linking a document to an asset or work order makes it instantly accessible from that entity’s detail page.
Track document revisions
Every document maintains a full version history. Upload a new version without losing previous revisions.
Always add a change note when uploading a new version to track what changed.
Get alerted before documents expire
Set an expiry date on any document, then choose how many days before expiry you want to be alerted — the reminder lead time is configurable per document (for example 60 days ahead, with follow-up reminders at 15 and 7 days). FreeMaint flags expiring or expired documents so you stay compliant. To renew a document or certificate, open it and use Upload New Version: the new file is saved while every previous version is kept in the history.
Use expiration tracking for calibration certificates and legal compliance documents.
Associate documents with entities
Documents can be linked to assets, work orders, locations, projects, or preventive maintenance schedules, making them accessible from anywhere in the system.
External links and documents attached to a preventive maintenance schedule (or to an asset) appear automatically, read-only, in the Files tab of every work order generated from that schedule — grouped under "From the maintenance schedule" and "From the asset". Technicians reach procedures, manuals, certificates and permits without re-uploading anything, and you keep a single source of truth: update the link once and it changes everywhere.
A file uploaded once can be attached to as many records as you need — one manufacturer datasheet across eight identical pumps, for example. There is only ever one file: update it once and every record shows the new version.
Store manuals and procedures once on the schedule or asset and link to your external EDMS by URL — no duplicate uploads, and edits propagate to every work order automatically.
Attach all project-related SOPs and compliance docs to the project record to keep everything in one place.
Attaching needs the “Update documents” permission. Read-only users see the shared file but no attach button.
