5-Minute Quick Setup

Get your FreeMaint workspace ready in 5 simple steps

Follow these five steps to have your maintenance system up and running in minutes. You can always add more detail later.

What to Do Next

  • Add more locations to build your facility hierarchy
  • Register all critical assets with details and photos
  • Set up preventive maintenance plans for recurring tasks
  • Configure notification preferences
  • Import existing data via CSV if available

Setup Steps

  1. Create your account at freemaint.com and complete the onboarding wizard
  2. Add your first location — start with your main building or facility
  3. Register your most critical asset — the equipment that needs maintenance most
  4. Create your first work order — describe a task and assign it
  5. Invite your team — send email invitations to technicians and managers

The onboarding wizard guides you through industry selection, module configuration, and optional sample data loading.

Create Your First Location

Set up your facility structure with locations

Locations represent physical spaces — buildings, floors, rooms, or zones where maintenance happens. Setting up locations first makes organizing everything else easier.

Building a Hierarchy

  • Main Factory (Building)
  • Ground Floor (Floor)
  • Production Line 1 (Zone)
  • Production Line 2 (Zone)
  • First Floor (Floor)
  • Office Area (Room)

Creating a Location

  1. Navigate to Locations from the sidebar
  2. Click 'Add Location'
  3. Enter a descriptive name (e.g., 'Building A - Ground Floor')
  4. Select the type (Building, Floor, Room, Zone)
  5. Optionally set a parent location for hierarchy
  6. Add address details for top-level locations
  7. Click 'Save'

Use consistent naming with identifiers like building codes: 'BLD-A / FL-1 / RM-101'.

Why Locations Matter

  • Organize assets by physical location
  • Filter work orders and reports by location
  • Assign teams to specific areas
  • Track costs per facility

Register Your First Asset

Add equipment to your asset registry

Assets are the equipment your team maintains. Registering them enables maintenance history tracking, PM scheduling, and cost analysis.

Key Fields

  • Name & Description — Clear identification
  • Category — For filtering and reporting
  • Location — Physical installation location
  • Status — OPERATIONAL, DEGRADED, DOWN, MAINTENANCE, STANDBY, RETIRED
  • Acquisition Cost & Purchase Date — Financial tracking
  • Warranty Expiration — Alert when coverage ends

Adding an Asset

  1. Navigate to Assets from the sidebar
  2. Click 'Add Asset'
  3. Enter the asset name
  4. Select category (Production, HVAC, Electrical, etc.)
  5. Assign to a location
  6. Fill in model, serial number, manufacturer
  7. Add financial info: acquisition cost, purchase date, warranty
  8. Upload photos and documents
  9. Click 'Save'

For equipment with sub-components, use parent-child hierarchy. Set main equipment as parent.
