Locations

Locations

Organize your facilities with hierarchical locations

Location Hierarchy

Parent-child facility structure

Nest locations from broadest to most specific.

Benefits

  • Navigate intuitively
  • Filter reports by level
  • Assign teams to areas
  • Track costs by location

Example

  • Main Campus (Site)
  • Building A (Building)
  • Ground Floor (Floor)
  • Production Area (Zone)

Use consistent naming: 'BLD-A / FL-1 / RM-101'.

In tree view, the branches you opened stay open when you open a location and come back (per browser tab).

Creating Locations

Add new locations

Build hierarchy from top down.

Steps

  1. Navigate to Locations
  2. Click 'Add Location'
  3. Enter name and type
  4. Set parent for nesting
  5. Add address for top-level
  6. Save

You can attach a photo of the place. It appears on the location page, in the locations list, on the public QR page, and when someone picks this location while raising a request — so everyone knows which room or building is meant.

Add top-level locations first, then detail progressively. If some of the ten built-in location types do not fit your organisation, open Company settings ▸ Categories ▸ Location types and hide them: they disappear from the dropdown without touching the locations that already use them.

Mapping Assets

Assign assets to locations

Every asset should have a location for filtering and reporting.

Steps

  1. Open asset
  2. Edit Location field
  3. Select from hierarchy
  4. Save

Use bulk import to assign locations to many assets at once.

Location Details

Location detail page

Each location shows associated assets, work orders, teams, and costs.

Available Info

  • Assets at this location
  • Active work orders
  • Assigned teams
  • Cost breakdown
  • Sub-locations

Photos

  • Main photo — shown next to the location name on its page and in the list
  • Photo gallery — up to 10 more pictures under the Photos tab
  • The main photo also appears on the public QR page of the location

Fill in address and contact info to help technicians.

Interactive Plans

Turn plans, P&IDs and supervision views into clickable maps

Upload any plan image — a site layout, a P&ID, an electrical schematic or a supervision view — then draw clickable zones on it. A zone can open a piece of equipment, a location, a part, a parts list, or another plan, so a P&ID set with off-page connectors becomes something you can navigate by clicking. Zones linked to equipment or a location also show a live count of open work orders and turn red when work is overdue. Import your layout as a PDF or image (AutoCAD, Revit or Visio export — the first page of a PDF is converted automatically).

Key features

  • Upload plans, P&IDs, schematics and supervision views
  • Draw rectangle or free-form polygon zones, or place simple point markers
  • A zone can open equipment, a location, a part, a parts list, or another plan
  • Click a plan zone to drill down, with a breadcrumb trail back
  • Live open work-order count and overdue colour on equipment and location zones
  • Click a zone to preview work orders, stock levels or inspections
  • Find a plan from the Plans tab on any asset or location
  • Give each asset type its own symbol — set it once on the category, or override a single marker
  • Colour markers by work status or by asset type, and filter the plan from its legend

Availability

Viewing plans is available on every plan. Creating and editing them (uploading a plan, drawing zones) requires the Enterprise plan.

Link each zone to what it represents, so the live counts and previews appear automatically. A zone whose target is later deleted says so instead of going blank — reopen the plan to re-link it.

Set a Symbol on each asset category (Settings → Categories) and every asset of that type is marked with it on every plan — no need to edit markers one by one. You can also upload your own marker images.
