Compliance Reports (HIPAA / ISO / GMP / 21 CFR Part 11)

Auditor-ready PDFs + tamper-evident audit chain โ€” for regulated industries

Compliance Reports is an Enterprise feature that converts your day-to-day FreeMaint data into auditor-ready evidence packs. Five PDF reports, a tamper-evident audit chain on every change, and a daily auto-verification cron come standard. Available from /reports/compliance to anyone with the 'compliance:read' permission on an Enterprise tenant.

Audit chain (21 CFR Part 11 ยง11.10(e))

Every audit log entry is linked to the previous one via a SHA-256 hash chain. Tampering with any row breaks the chain at the FIRST modified row's successor โ€” detectable via the 'Verify chain now' button on /reports/compliance/audit-chain, the CLI script verify-audit-chain.js, or the daily 02:00 UTC cron (with Sentry alert on divergence). The latest chain anchor hash is printed in the header of every generated PDF as a visible tamper-evidence marker for auditors.

Inspection e-signatures (21 CFR Part 11 ยง11.200)

Completing a Sprint 3A inspection on Enterprise requires a second authentication component: the user re-enters their password to mint a 5-minute signing token, then draws their signature on a canvas pad. The signature is stored as an immutable PNG with IP, user-agent, role, optional witness and a server timestamp โ€” and is embedded in the inspection PDF on every re-download. Existing WorkOrder / Lockout / HSE signature flows (Business tier) are unchanged.

Permissions

  • compliance:read โ€” list and download all reports, view chain status, list/download artifacts. Seeded for ADMIN by default. MANAGER seeded for new tenants; existing tenants may need to grant it manually (existing MANAGER roles are not auto-updated to preserve tenant customizations).
  • compliance:export โ€” generate the Audit Trail PDF and User Permission Snapshot artifact. Seeded for ADMIN only.

  • Maintenance Compliance โ€” on-time vs late PM completion + signature status (default 90 days, filter by 'signed only')
  • Equipment History โ€” full lifecycle PDF for one asset: work orders, meter readings, audit trail (default 365 days)

User & Permission Snapshots

Snapshots are point-in-time, immutable. Once generated, the cached PDF bytes are stored on the row โ€” auditors can re-download the exact PDF they reviewed months ago even after users have been added, removed, or had their roles changed.

The chain anchor appears in the header of every generated PDF. If you're preparing for a regulator visit, generate a User & Permission Snapshot right before the audit โ€” the cached PDF is your immutable evidence of who-had-access-on-day-X.


FreeMee โ€” Failure Analysis

AI-assisted root cause analysis on assets and work orders, grounded in your tenant's documents

Failure analysis is FreeMee's ability to turn the noisy history of an asset or work order into a ranked list of plausible root causes plus concrete next actions. It's included on every plan (metered by your monthly FreeMee AI credits). It runs a reasoning model over a structured case file (history, downtime, meters, peer assets) and โ€” when documents are uploaded โ€” over the relevant chapters of your own manuals and SOPs.

Cost and configuration

Each analysis costs 5 FreeMee credits, drawn from your company's monthly allowance. Indexing your documents costs nothing. Your remaining balance is shown in the app, and every AI action appears in your credit history.

Permissions and tier gating

  • Feature: AI_SHERLOCK โ€” available on every plan, including free Core. Access is metered by FreeMee credits (5 per analysis) rather than restricted by tier.
  • Permission: ai:sherlock โ€” seeded for ADMIN by default. Grant via /people/roles for any other custom role.
  • Analysis results never override your data โ€” they're advisory; verify against your maintenance procedures before acting.

How the RAG layer works

When you upload a PDF or DOCX in the Documents module, FreeMee extracts the text, splits it into ~1200-character chunks with overlap, embeds them via the same provider used by the chatbot cache, and stores them per-tenant. At analyze time it pulls the top-4 most semantically relevant chunks and injects them into the prompt. Ingestion is best-effort and fire-and-forget: uploading is never blocked, and RAG silently degrades to structured-context-only if extraction or embedding fails.

Strict tenant scoping

Every context query is filtered by company. Data belonging to another tenant is never reachable โ€” a request for it returns 'not found' rather than 'forbidden', so its very existence stays private. Document retrieval is company-scoped at the database level too, and every analysis is kept in an audit trail.

RAG quality scales with the documents you upload. A few clean equipment manuals + your most-referenced SOPs are far more useful than dumping everything โ€” the top-4 retrieval is precision-oriented, not recall-oriented.

How to run an analysis

Open any asset or work order detail page and click 'Analyze with FreeMee'. Optionally add a one-line symptom hint to focus the analysis (e.g. 'unusual noise on startup'). The model returns a summary, 2โ€“5 ranked hypotheses with evidence, 2โ€“5 recommended actions, and citations to the documents it drew from. Past analyses are listed at /ai-sherlock for re-review and audit.


FreeMee โ€” Manuals & Web Search

Ask FreeMee what a fault code means: it searches your own manuals first, and only searches the web if you tap to confirm

A technician standing in front of a machine in alarm can ask FreeMee directly โ€” in the chat bubble on the web app, or in the FreeMee screen on mobile โ€” what a fault code means. FreeMee searches your company's OWN documentation first: the manuals attached to that asset, then every document uploaded by your company. It answers only from what it actually found and names the source document, so you can check it. It never invents the meaning of a code.

Turning web search off for the whole company

An administrator can disable it in Settings โ†’ Company Settings โ†’ System โ†’ "FreeMee web search". When it is off, the button is never shown to anyone in the company and FreeMee will not search the web even if asked directly โ€” it tells the user the administrator disabled it and suggests uploading the manual instead. Searching your own documents is unaffected and stays available to everyone.

What it costs

  • A chat message: 1 AI credit. With a photo attached: 3 credits.
  • Searching your own manuals: free โ€” it is included in the message, reading your own documentation never costs extra.
  • A confirmed web search: 2 credits, charged only when it comes back with sources. A failed or uncited search costs nothing.
  • Credits are your company's monthly allowance (Core 100, Starter 500, Business 2,000, Enterprise 7,500) โ€” see Company Settings โ†’ AI Credits.

What FreeMee can actually read

Only documents uploaded into FreeMaint are searchable. Text PDFs, DOCX and plain-text files are indexed automatically on upload โ€” including files you attach directly to an asset. A scanned, image-only PDF (a photocopy) contains no text layer: FreeMee cannot read it yet, and will tell you it found nothing rather than guess. To make a manual findable, upload it in Documents (or on the asset's Documents tab) and prefer the manufacturer's original PDF over a scan.

Limits worth knowing

  • Scanned image-only PDFs are not readable yet โ€” FreeMee will say it found nothing rather than guess.
  • Web results are third-party pages, not verified documentation: always confirm against the manufacturer's manual before acting on safety-critical equipment.
  • Web search needs your documents to be checked first: FreeMee will not go online before searching what you already have.
  • Every search is scoped to your company. FreeMee can never read another company's documents.

Send the nameplate photo with your question

Attach a photo of the rating plate in the SAME message as your question (camera button in the composer, on web and mobile). FreeMee reads the manufacturer, model and serial number off the plate and uses them in its search โ€” so "what does F0002 mean?" becomes a search for that exact drive. A message with a photo costs 3 AI credits instead of 1.

The web search โ€” only if you confirm it

When nothing matches in your documents, FreeMee says so and offers a "Search online" button. Nothing leaves your workspace until you tap it: a typed "yes" is deliberately not enough, so a search is never started โ€” and never charged โ€” without an explicit tap. One tap authorizes one search (2 AI credits, on top of the 1 credit the message itself costs). The answer comes back with clickable source links, and FreeMee states plainly that it comes from the web and not from your documentation.


Predictive Maintenance

AI-assisted asset health scoring and failure-window prediction, statistical heuristics + LLM narrative

Predictive Maintenance gives every asset a 0โ€“100 health score, a level (Healthy / Watch / At risk / Critical), a list of ranked risks and recommended actions, plus a predicted failure window when there's enough history. It runs nightly on every asset in your fleet and is also available on-demand from any asset detail page.

Cost

The statistical pass is free โ€” it is pure maths on your own history. An on-demand AI analysis costs 5 FreeMee credits from your company's monthly allowance. The nightly Enterprise scan costs no credits. Your balance and full credit history are visible in the app.

Nightly auto-scan

By default the cron runs at 03:00 UTC for every active Enterprise tenant. It scans up to 50 eligible assets per tenant (those with โ‰ฅ3 failures OR โ‰ฅ10 meter readings), persists a heuristic-only alert for each, then re-runs the worst 10 with the LLM narrative. Disable globally by setting the SystemSetting 'predictive.cron_enabled' to 'false' via /admin. Adjust the alert TTL with 'predictive.ttl_days' (default 7).

Permissions and tier gating

  • Feature: PREDICTIVE_MAINTENANCE โ€” available on every plan, including free Core: run an analysis on demand from any asset, metered by FreeMee credits (5 per analysis). The automatic nightly scan described below remains an Enterprise feature.
  • Permission: ai:predict โ€” seeded for ADMIN by default. Grant via /people/roles for any other custom role.
  • Alerts are advisory โ€” verify against your maintenance procedures before acting.

Strict tenant scoping

Every context query is filtered by companyId. Asset from another tenant returns 404 (never 403, to avoid leaking existence). Cron isolates each tenant in its own try/catch โ€” one failure never blocks the global scan.

Signals used

Failure count and MTBF/MTTR (filtered to CORRECTIVE + EMERGENCY work orders per the standard reliability convention), availability % from AssetDowntime spans, anomaly burst (recent vs 60-day baseline of out-of-range / regressive meter readings), and per-meter linear regression (slope + rยฒ) projecting days-until-threshold for monotonic meters.

Predictive insight scales with data quality. Two quick wins: (1) keep meter readings honest โ€” anomaly burst detection relies on the 'isAnomaly' flag set automatically on out-of-range / regressive readings; (2) classify work orders as CORRECTIVE or EMERGENCY for true failure-mode scoring (PMs are excluded by design).

How to refresh an alert

Open any asset detail page and click 'Predict health' (or the badge if a cached alert already exists). The server gathers signals (failure count, MTBF, MTTR, availability, anomalous meter readings, meter trend regressions), runs heuristic scoring, then asks the LLM for a narrative summary and risk polish. Results are persisted (append-only with TTL โ€” default 7 days) so the trend is visible over time at /predictive.


On-Premise

Self-hosted in your infrastructure for air-gapped or compliance needs

On-Premise lets you run FreeMaint inside your own data center or private cloud. New on-premise deployments are currently paused while we focus on our cloud offering โ€” existing deployments remain fully supported. No per-user counter, no asset cap.

Support

Includes installer scripts, runbook documentation and email support. Major version upgrades are tested and packaged before release.

Technical setup

Ships as a Docker Compose stack with PostgreSQL, Redis, MinIO and the full FreeMaint backend + frontend. Caddy handles HTTPS automatically. Watchtower auto-updates patches. License is verified offline via an Ed25519-signed file (no callback to FreeMaint servers needed).

New on-premise deployments are paused. If you have a hard air-gap or compliance requirement, contact us to join the waitlist.

Our guarantee

If you remain a Founding Partner, your price stays at the founding rate even if we raise standard prices later. Cancel and resubscribe? You keep your founding rate (we tag your company).

How it works

When a slot is available and you subscribe to that tier, the discounted price is automatically locked into your subscription record (foundingLockedPrice field). Once the slots are filled for a tier, new subscriptions revert to the standard price. Existing Founding Partners keep their rate forever.

Storage Quotas

How much you can upload per tier

Every tier has a storage quota for photos, attachments, documents and chat files. Quotas are enforced at upload time and via a daily cron job. Once the cap is reached, uploads return HTTP 413 'storage quota exceeded'.

Monitor your usage

Open /company-settings/subscription to see your current usage as a percentage. The mobile app's Subscription screen also shows a progress bar with red warning when above 90%.

Per-tier quotas

If you hit the cap, the easiest cleanup is deleting old work order attachments โ€” usually the largest category. Or upgrade to the next tier.

Changing Your Plan

Upgrade, downgrade, cancel, or start again after a cancellation

Changing plan is instant and self-service. Your work orders, assets, users and settings stay exactly as they are โ€” only the feature gates move.

Billing

Lemon Squeezy is our merchant of record: it issues your invoices and handles VAT and sales tax. Plans are billed monthly or annually. Update your card, download invoices or cancel from the customer portal.

Cancelling

Cancel from Company Settings โ†’ Subscription with the "Cancel subscription" button. You keep full access until the end of the period you already paid for; after that the account returns to the free Core plan. Nothing is deleted.

Moving to a smaller plan

Open Company Settings โ†’ Subscription and use "Switch to โ€ฆ" to move to a smaller paid plan. The change applies at your next renewal, and your data stays: features above your new plan simply become hidden or read-only, and they come back in full if you move up again.

Coming back after a cancellation

Once a plan is cancelled you can subscribe to any plan again โ€” including a smaller one โ€” from Company Settings โ†’ Subscription or the pricing page. The billing portal itself only offers "Resume" for the plan you cancelled, so to move to a different tier use the plan options in the app.

Free trial

Starter, Business and Enterprise can be tried free for 14 days. A card is required, and billing starts automatically when the trial ends unless you cancel before that. One trial per company.
