Most “free” maintenance software is free for one or two people. This page explains the difference between the kinds of free on offer, then says exactly where FreeMaint sits.
What “free” actually means in maintenance software
The word covers at least five different products. None of them is dishonest on its own terms; they simply answer different questions, and comparing them as if they were the same thing is how teams end up migrating twice.
The capped free tier
Free forever, but for one or two users — sometimes for a fixed number of assets or work orders. It is a real product, and it works for a single maintenance manager. It stops working the moment you want a second technician in the system, which is usually week two.
The free trial called "free"
Fourteen or thirty days of the full product, often with a card required up front. Useful for evaluating. It is not a free plan, and the distinction matters when you have spent a fortnight importing your asset register.
The feature-gated free tier
Unlimited users, but preventive maintenance — the reason most teams want the software at all — sits one tier up. The free plan becomes a work-order logbook, which a spreadsheet already was.
Open source, self-hosted
No licence fee, and a real cost: a server, a database, upgrades, backups and somebody who owns all four. Genuinely free if you already have that person. Expensive if the maintenance manager becomes that person.
Genuinely free
Unlimited users, the core maintenance functions included rather than gated, no card, no expiry — funded by optional paid tiers that add advanced modules, not extra seats. This is where FreeMaint Core sits.
Why the user cap is the one that matters
Of all the ways a free plan can be limited, the seat cap does the most damage, because it changes who is allowed to put data in. A maintenance system is only as good as its record of what actually happened, and that record is written by the people closest to the equipment: the operator who noticed the noise, the technician who replaced the bearing, the supervisor who reordered the part.
Cap the seats and the rational response is to buy licences for technicians only. Everyone else keeps reporting faults by phone, text and corridor conversation — so the history is incomplete, the failure analysis is unreliable, and the reports that were supposed to justify the budget are built on partial data. The cap did not just limit the software; it limited what the software could ever tell you.
That is the reasoning behind flat per-company pricing at every FreeMaint tier, including $0. Requesters can also report a fault by scanning a QR code on the equipment without an account at all.

Five questions to ask any free plan
Including ours. If a vendor cannot answer these in one sentence each, the answer is usually the one you did not want.
Is the price per user or per company?
A $29 per-user plan for twelve people is $348 a month. Flat per-company pricing does not change when you add the team.
Which tier holds preventive maintenance?
It is the main reason to buy maintenance software, and it is frequently absent from the free and entry plans.
Is it a free plan or a free trial?
Check for an expiry date and whether a card is required to start. Both change the answer.
Can you get your data back out?
CSV export of assets, work orders and parts. If there is no export, the free plan is a lock-in with a nicer name.
What happens if you stop paying?
Some products lock the account; a well-designed free tier means you fall back to it and keep reading your history.
