A CMMS(Computerized Maintenance Management System) is software that centralises an organisation's maintenance work — work orders, assets, preventive schedules and spare parts — in a single system of record.
It replaces the mix of paper job cards, spreadsheets and message threads that most maintenance teams start with, and it gives every piece of equipment a service history you can actually query. This page explains what the acronym means, what the software does day to day, who uses it, how it differs from a spreadsheet, and what it costs.
What CMMS stands for
CMMS stands for Computerized Maintenance Management System. The acronym is older than it looks: it comes from the 1960s and 1970s, when maintenance departments first moved their equipment records off card indexes and onto mainframes. “Computerized” distinguished the new systems from the paper ones. That distinction stopped being useful decades ago, but the acronym stuck.
You will meet several spellings and near-synonyms for the same thing:
- Computerised maintenance management system — the British spelling, same software.
- Computer maintenance management system — a common shortening. It is the query people actually type, and it means the same thing.
- GMAO — Gestion de la Maintenance Assistée par Ordinateur, the French term, widely used across francophone industry.
- Maintenance management software — the plain-language description, increasingly what vendors call themselves.
EN 13306, the European standard on maintenance terminology, defines maintenance itself as the combination of technical and administrative actions intended to keep an item in, or restore it to, a state in which it can perform its required function. A CMMS is simply the tool that records and organises those actions.
What a CMMS actually does
Vendor feature lists run to hundreds of items, but the software rests on five functions. Everything else is either a refinement of one of them or a report drawn from them.
Work orders
Every job — corrective, preventive or inspection — is raised, assigned, prioritised and closed in one place, carrying its description, photos, parts consumed, labour time and full status history.
Asset register
Each machine, vehicle, building or line gets a record with its location, criticality, documents and complete service history. This register is what makes failure analysis possible at all.
Preventive schedules
Recurring work generates itself on a calendar interval or a meter reading (hours run, kilometres, cycles) so servicing happens on a plan rather than after a breakdown.
Spare parts inventory
Stock levels, reorder points and consumption are linked to the work orders that used the parts, which is what turns an inventory count into a maintenance cost figure.
Reporting
Backlog, completion rate, MTBF, MTTR and cost per asset come out of the work order history — not from a separate spreadsheet somebody has to maintain by hand.
The connection between those five is the point. A work order that consumes a part decrements stock; that part belongs to an asset; that asset accumulates a cost and a failure history; the history is what tells you whether the preventive interval is right. Keep the five in separate tools and each link has to be rebuilt by hand, which is exactly why it stops happening after the first busy month.
Who uses a CMMS
Any organisation responsible for physical equipment it cannot afford to have stop. In practice that is a wider group than “factories”:
- Manufacturing. Production lines, where an hour of unplanned downtime has a directly calculable cost and preventive intervals are tuned against it.
- Facility and property management. HVAC, lifts, electrical distribution, fire safety equipment — often across many sites, often with statutory inspection deadlines attached.
- Fleet and transport. Servicing driven by odometer or engine-hour readings rather than the calendar.
- Healthcare. Biomedical equipment, where the calibration and inspection record is a regulatory obligation, not an internal nicety.
- Hospitality, education, public sector. Dispersed estates where requests arrive from non-technical staff and have to be triaged before they become work.
Inside the organisation, a CMMS usually has four kinds of user, and they want very different things from it:
- Technicians want the job on their phone, with the asset history and the ability to close it without walking back to a desk.
- Supervisors and planners want the backlog, the schedule and a way to assign work that reflects who is actually available.
- Requesters — operators, nurses, office staff — want to report a fault in seconds, typically by scanning a QR code on the equipment, without an account or training.
- Managers want the numbers: completion rate, backlog trend, cost per asset, and enough evidence to defend a budget.
CMMS vs spreadsheets
Almost every maintenance team starts in a spreadsheet, and for a single person with twenty assets a spreadsheet is a reasonable tool. It breaks at a predictable point: when more than one person needs to write to it, when work has to be scheduled rather than remembered, and when someone asks a question the sheet was not built to answer.

The honest version: a spreadsheet is not a bad place to begin, and it is a good place to keep your asset list while you decide. What it cannot do is carry a schedule that runs without you, or answer “how many times has this pump failed this year, and what did it cost?” without someone rebuilding the answer by hand. If a spreadsheet still fits, use it — and keep it importable, because every serious CMMS accepts CSV.
How much a CMMS costs
Most CMMS vendors price per user, per month, typically in the $20–$60 range for a mid-tier plan, with the useful features — preventive maintenance, purchase orders, reporting, integrations — placed above the entry tier. Enterprise EAM platforms are quoted per site or per contract and start well into five figures a year.
Per-user pricing has a specific consequence worth naming, because it shapes how teams use the software: it makes adding people expensive. The natural response is to buy seats only for technicians and leave operators, supervisors and requesters outside the system — which is precisely the group whose input makes the data complete. A team that cannot afford to let an operator report a fault will keep receiving faults by text message.
There are three things to check on any quote before comparing numbers:
- Is the price per user or per company? A $29 per-user plan for twelve people is $348 a month, not $29.
- Which tier holds preventive maintenance? It is the reason most teams buy a CMMS, and it is frequently not in the entry plan.
- Is “free” a plan or a trial? A 14-day trial and a free tier are different products. So is a free tier capped at one or two users.
