Associate documents with entities

Documents can be linked to assets, work orders, locations, projects, or preventive maintenance schedules, making them accessible from anywhere in the system.

  1. Open the document detail page
  2. Use the Entity field to select the linked entity type (Asset, Work Order, Project…)
  3. Search and select the target entity
  4. Save — the document appears in that entity’s Documents tab

Attach all project-related SOPs and compliance docs to the project record to keep everything in one place.

Inherited by generated work orders

External links and documents attached to a preventive maintenance schedule (or to an asset) appear automatically, read-only, in the Files tab of every work order generated from that schedule — grouped under "From the maintenance schedule" and "From the asset". Technicians reach procedures, manuals, certificates and permits without re-uploading anything, and you keep a single source of truth: update the link once and it changes everywhere.

Tip

Store manuals and procedures once on the schedule or asset and link to your external EDMS by URL — no duplicate uploads, and edits propagate to every work order automatically.
