Level 1 Maintenance

Operator rounds: simple checks and upkeep at the machine, with the consumables they use

Level 1 maintenance is the work an operator does at their own machine: simple checks, cleaning, tightening, topping up, replacing an easily accessible consumable โ€” no dismantling, no specialist. The French standard NF X 60-000 defines it as the first of five maintenance levels, and TPM calls the same routine Clean, Inspect, Lubricate. FreeMaint runs it on the inspection engine: you build a template once, pin the machines and zones it covers, set the order the operator walks them, and the round appears every day on their phone.

Availability

Reading rounds and printing their reports is available on every plan. Creating templates, scheduling them and recording results requires the Starter plan.

Build the round

  1. Open Preventive โ†’ Level 1 Maintenance, then the Templates tab, and click New template.
  2. Add one line per checkpoint: the part (for example Gearbox) and what to do (for example Weekly greasing).
  3. For each line choose an answer type. Act done / not done is the one made for level 1: the operator answers Done, Not done or N/A.
  4. Not done counts as a failure, so it feeds the findings register and can raise a corrective work order automatically. N/A is a legitimate answer โ€” a machine stopped that day, a point out of reach โ€” and does not create a defect.

Attach a consumable

An Act done / not done checkpoint can consume a part: grease, oil, a filter, a lamp. Pick the part in the Consumable field and set the quantity normally used. When the operator answers Done, FreeMaint takes that quantity out of stock and records a stock movement of type Inspection, traced to the run and to the person. The operator can correct the quantity before saving; answering Not done afterwards returns what was taken.

Warning

If there is not enough of the part in stock, the check is still recorded but the stock does not move, and the line shows stock not updated. The act is never lost; only the withdrawal is refused.

Set the walk order

  1. In the template, open the Schedule tab and pin the machines and zones the round covers.
  2. Open the Walk order panel and use the arrows to put the stops in the order the operator actually walks them.
  3. Machines and zones can be interleaved โ€” a round is a route, not two separate lists.

Do the round

  1. The operator opens Level 1 Maintenance on the phone, or scans the QR code on the machine and taps Start today's check.
  2. The header shows Step 2/3, so they always know where they are on the route.
  3. When a stop is completed, the phone moves straight to the next one and names it.

Tip

Scanning the machine QR code starts the right round directly, without going through any list. It is the fastest way in, and it records that the operator was at the machine.

The record

Every run can be exported as a PDF: the checkpoints, the answers, the notes and photos, and the consumable actually taken out of stock. That is the sheet an auditor asks for, and it replaces the paper one.
