Recurring schedules with no specific equipment

Not every recurring task is about equipment. Fire drills, audits, license renewals, board meetings โ€” these are organizational tasks that still need a schedule, reminders, and accountability, but no asset or location to attach to. FreeMaint lets you schedule them as Preventive Maintenance plans in Organizational mode.

When to use Organizational mode

  • Monthly fire drill across the whole plant
  • Quarterly safety committee meeting
  • Annual ISO 9001 audit preparation
  • Business license renewal (yearly)
  • Software subscription renewal
  • OSHA-required trainings and refreshers
  • Insurance policy renewal

How to create one

  1. Open Preventive Maintenance and click Create
  2. Fill the plan name (e.g. "Monthly fire drill")
  3. Choose the frequency (every 30 days, every year, etc.)
  4. In the Assignment & Location section, click the Organizational task toggle
  5. Assign a responsible user or team โ€” they receive the reminder when the task is due
  6. Save

Tip

If you don't assign anyone, admins and managers receive the reminder by default.

Organizational mode vs HSE Inspections

Use Organizational mode for one-off recurring tasks with a simple checklist (or none at all). Use HSE Inspections when you need a structured form with multiple sections, scoring, photos, and a formal pass/fail outcome โ€” e.g. monthly extinguisher inspection following a regulatory grid.
