Measure maintenance program effectiveness.
Metrics
- PM vs Corrective ratio (target 80:20)
- PM schedule adherence
- Work order backlog
- Technician productivity
- First-time fix rate
Tip
Team completion rate
The completion rate on Analytics counts work orders AND inspections together, over the same period. Someone who only has inspections is no longer shown at 0%. When nothing at all was assigned in the period, the rate shows "—" rather than a zero, and those people are left out of the average.
Grouping by team (section)
On Analytics → Team, the "Group by" switch shows the same figures per team instead of per person — useful when a crew shares responsibility for scheduled inspections and no single name reflects the work. Work assigned to a team but to nobody in particular appears only in the team view. Requires the Business plan; items not assigned to any team are not counted.
Choosing which columns to show
The "Columns" button above the ranking table hides or shows each column — for example, keep only "Work orders completed" and "Inspections completed". Your choice is saved to your account, and "Reset columns" restores all of them.
Preventive maintenance KPIs
Analytics → Preventive computes the figures above from your own work orders, using the same period, asset, location and team filters as the other tabs. Each one prints the number it was calculated from; when nothing in the period can be measured it shows a dash, never 0%.
- PM schedule compliance — planned jobs finished on or before their due date, as a share of the planned jobs that carried one
- PM completion rate — planned jobs finished, as a share of those raised in the period
- PM overdue — planned jobs past their due date and not finished
- PM backlog — planned jobs still open, scheduled, in progress or on hold
- Preventive share of maintenance — preventive work against corrective and emergency work
Tip
Work by maintenance type
Reports → PM Ratio and the Reports screen of the mobile app show how your work orders split across the seven maintenance types, grouped into proactive (preventive, predictive, inspection), reactive (corrective, emergency) and improvement & projects. It reads the type set on each work order; cancelled work orders are not counted. The web report follows the period you pick; the mobile screen covers the last 12 months.
Tip
Scheduled reports: period and formats
When you schedule a report, "Period covered" sets the time span it includes.
- "Previous calendar month" and "Previous calendar quarter" cover a whole month or quarter — ideal for a monthly report sent on the 1st
- In a monthly schedule, day 31 ("Last day of month") means the last day of every month
- Output formats: PDF (with charts), Excel and CSV
- The e-mail states the exact period covered
Monthly Maintenance Report
In the "Monthly Maintenance Report" template, "Work orders completed" now counts every work order finished in the period — completed, validated or closed. A new section, "Maintenance cost per asset (top 20)", shows where the maintenance budget went, highest total first:
- For each asset: the number of finished work orders and their labor, parts and external-service costs
- The total maintenance cost for the period
- The number of assets serviced
- The average cost per asset
