A lesson learned is what your team knows after fixing something โ written once, so nobody has to work it out again. FreeMaint builds each one from a work order you have already closed, then surfaces it automatically the next time someone opens a similar job.
Why it is not just the work order notes
It is generalised
A work order records one machine on one day. A lesson says what it applies to โ "any centrifugal pump with a mechanical seal over 5 years old".
It is reviewed
Only a published lesson is searchable. A supervisor validates it first, so a wrong conclusion does not spread across the plant.
It carries prevention
The one thing a repair log never has: how to stop it happening again.
Capturing one from a work order
- Close the work order and fill in its Root cause and Completion notes. Everything else builds on those two fields.
- Open the work order and click "Create lesson from this work order" โ or click the "Capture this as a lesson learned?" notification FreeMee sends you after a complex job.
- The form arrives already filled in: the description becomes the Symptom, the root cause and completion notes carry over, and the asset, category and failure codes come with them.
- Write the Prevention field. It is deliberately left blank โ it is the part only you can write, and it is what makes this a lesson rather than a repair record.
- Save. The lesson is a draft: it is not searchable yet and FreeMee will not quote it.
- A supervisor or manager opens it and clicks Publish. From that moment it is findable by everyone.

On the work order
Open any work order and matching lessons appear at the top โ before you start the job, not after.
While creating a work order
As you type the title, FreeMaint shows lessons from similar work. Sometimes it means the job is not needed at all.
By failure code
If you tag work orders with failure codes, a lesson tagged with the same code is matched exactly. This is the strongest and fastest match.
By meaning, not just words
Search finds a lesson even when you describe the problem in different words from the person who wrote it.
Start with the work orders you already closed with a real root cause โ those become good lessons in about a minute each. Ten well-written lessons are worth more than a hundred thin ones.
Who can do what
Technicians
Read every published lesson and write new ones. They cannot publish or edit someone else's โ they write a new one that replaces it.
Supervisors and managers
Everything above, plus reviewing and publishing.
Everyone else
Requesters, viewers and operators can read published lessons. The knowledge base only pays off if the people doing the work can read it.
