Sub-work orders by team
Split one job into a sub-work order per team and follow their overall progress
A single job often needs several teams: electrical, civil works, compressed air, mechanical. Instead of creating unrelated work orders, keep one parent work order and give each team its own sub-work order, with its own assignee, schedule, tasks, parts and progress. The parent shows where every team stands and what the whole job costs. Creating sub-work orders by team needs the Business plan; reading them is open on every plan.
Split a work order when you create it
In the new work order form, choose a primary team and at least one of the additional teams. The option “One sub-work order per team” appears: switch it on and save. The work order you created becomes the parent and FreeMaint creates one sub-work order per team. On the mobile app the option appears the same way once two teams are chosen.
Split an existing work order
Open the work order, click “Add sub-work orders by team”, choose the teams and confirm. On the mobile app the action is in the work order's actions menu. Only an empty work order can be split — no tasks, no parts used or planned, no time logged — because each team logs its own work on its sub-work order. Once a work order is split, “Add teams” adds more teams later.
What each sub-work order receives
Each sub-work order is named “parent title — team” and copies the parent's description, location, asset, priority, category, due date and planned dates. It is not assigned to anyone: its team is notified and assigns its own technician. Changing the parent's dates later does not move the teams' schedules.
Follow the job on the parent
The parent's “Sub-work orders by team” card lists each team with its people, status, tasks, hours and cost, then the totals for hours, labour, parts and the whole job. The parent itself holds no tasks, parts or time: add them on the team's sub-work order.
The parent follows its teams
- When the first team starts its sub-work order, the parent is started too.
- While a sub-work order is still open, the parent cannot be completed, validated or closed.
- When the last team finishes, the parent is completed automatically. Validation and closure remain a person's decision.
- If a team reopens its sub-work order after the parent was completed, the parent goes back to work in progress.
Cancelling the parent
Cancelling the parent also cancels its open sub-work orders, after a confirmation that lists them. Sub-work orders already finished are kept. Reopening the parent does not reopen the cancelled sub-work orders.
