Task observations

See every note, failed check and out-of-range reading left on work order tasks, and follow it up

When a technician notices something while doing a task — an air leak, a worn belt, a broken gauge — they write it on that task, often with a photo. “Task observations” lists all of them across your work orders, so nothing stays hidden inside a closed work order.

What counts as an observation

  • A note written on the task.
  • A check marked as failed.
  • A reading below or above the range set on the task.
  • A comment with text on the task.

A photo alone does not create an observation (it is usually proof of the work); the photos are shown with the observation they belong to.

Where to find it

  1. On the web, open Work Orders › “Task observations” in the menu. The list opens on “Not resolved”, newest work orders first.
  2. On the work order list, the “Task observations” button shows how many are open, and each work order with open observations carries a small counter next to its ID.
  3. On a work order, a task with an observation shows its status under the task.
  4. In the mobile app, managers see “Task observations to review” on their home screen; tap it to open the list (read-only).

Dealing with an observation

  1. “Close” once the problem is dealt with, with an optional note of what was done. It leaves the open list and can be reopened at any time with “Reopen”.
  2. “Create follow-up work order” opens a new work order for the same asset, location and team, with the note and the photos of the task. The observation then follows that work order: “Follow-up in progress”, then “Follow-up done” when it is completed.
  3. Select several observations and use “Close selected” to close them at once.
  4. “Already reported on …” means the same task of the same plan, on the same asset, was already reported on an earlier work order — a sign the problem comes back.

Tip

Everyone who can see the work orders sees their observations. Closing one needs the permission to close work orders; creating the follow-up needs the permission to create work orders. Available on every plan.
